Privacy Policy

MovingClarity is a software tool for moving companies. This policy explains what we collect, what we do with it, and what we don't do with it. It's written to be read, not skimmed.
If anything here is unclear, email ali@movingclarity.com and we'll explain it in plain language.
1. What we collect
We collect three kinds of information.
Your account. Your name, email address, password (stored encrypted), company name, and the role you have at that company. We collect this when you sign up.
Your job data. Everything you put into MovingClarity while doing your work — job records, customer names, customer phone numbers, customer addresses, inventory lists, room layouts, weight and volume estimates, notes, and any photos or voice recordings you create.
Usage data. Standard product telemetry — which pages you visit, which buttons you click, how long requests take, error logs. We use this to find bugs and improve the product. We don't sell it.
Demo requests. When you fill out the Get Demo form on our website, we collect your name, company name, email, phone, and approximate moves per month. We use this to contact you about a demo and to qualify whether MovingClarity is a fit. If you don't become a customer, we keep this for 12 months in case you reach back out, then delete it.
We do not collect payment information. We're not charging yet.
2. What we do with it
We use your information to run the product. That means:
- Showing you your own jobs and inventory
- Running our AI to turn your voice and text into structured inventory items
- Syncing inventory with SmartMoving on your instruction
- Sending you emails about your account
- Diagnosing problems when something breaks
That's the whole list. We don't use your data to build a marketing database. We don't sell it to anyone.
3. Who we share it with
We share data only with the service providers that make MovingClarity work. They process data on our behalf — they don't get to use it for their own purposes.

We do not sell your data. We are not a data broker. The only time your data leaves these systems is when you ask us to send it to SmartMoving on your behalf.
If a court orders us to hand over data, we'll comply with the order and tell you about it unless the order forbids that.
4. AI and your data
This part matters, so we're being specific.
Your voice recordings, transcripts, and inventory text are processed by AI to extract structured inventory data. The AI providers above (Anthropic, OpenAI, Google, Deepgram, AssemblyAI) see this data while they process it. They return a result. That result lands in your account.
Our AI providers do not train their models on your data. We use enterprise API configurations that opt out of training. This is contractual with each provider.
We do not train any model on data from your SmartMoving account. That's an internal policy we wrote and signed on May 11, 2026. It's not negotiable and it has no exceptions. The full policy is at technical-brain/c-suite/clo/ai-training-prohibition-policy.md in our internal documentation and we'll send it to you on request.
AI output is not perfect. The inventory it generates may be wrong. You're responsible for reviewing inventory before finalizing it for a customer. That's why every item lands in "needs review" until an estimator confirms it.
5. How long we keep things

Voice recordings are kept permanently because they're the audit trail for the inventory record that signs the bill of lading. Removing them would compromise the legal value of the signed inventory.
Everything else is deleted 30 days after your account ends, unless you ask us to delete it sooner.
6. Your rights
You can:
- See your data. Email ali@movingclarity.com and we'll send you everything we have on you within 30 days.
- Fix your data. Update your account, job data, and inventory from inside the product. For anything else, email us.
- Delete your data. Cancel your account and we'll delete it after 30 days. If you want immediate deletion, email us.
- Take your data with you. Email us and we'll export your job and inventory data in a standard format.
If you live in California, you have additional rights under the CCPA. If you live in the EU, you have rights under the GDPR. These rights are real for us too — email us and we'll honor them.
7. Security
We do these things:
- All data is encrypted in transit (HTTPS only)
- All data is encrypted at rest in our database and file storage
- Passwords are hashed, never stored in plain text
- Our infrastructure runs on Supabase, which is SOC 2 Type II certified
- API keys for third-party services are encrypted in our database
We do not promise perfect security. No company can promise that and mean it. If we have a security incident that affects your data, we'll tell you within 72 hours of confirming it.

8. SmartMoving integration
When you connect SmartMoving, you give us permission to read and write data in your SmartMoving account on your behalf. We act as your authorized agent.
A few things to know:
- Your SmartMoving terms of service still apply to your SmartMoving account. We're not SmartMoving and we can't change those terms.
- We only read and write SmartMoving data on your instruction. We don't pull data we don't need.
- We never use data from your SmartMoving account to train AI models. See Section 4.
- You can disconnect SmartMoving any time. After you disconnect, we stop reading and writing immediately. Data we already have stays in your MovingClarity account until you delete it.
9. Changes to this policy
We may change this policy. If we do, we'll email you at least 14 days before any change that affects what we collect, what we do with it, or who we share it with. Small wording changes don't need notice.
The "last updated" date at the top of this document is the current version.
